Refund Policy

In force from 14 October 2026

We do not refund CostAnalyst payments once they are taken, apart from the three cases listed under "When we do refund". Turning off renewal is always in your hands and stops any later charge.

What the fee pays for

Plans are subscriptions billed in advance, monthly or yearly, at the prices on the pricing page. The fee keeps the analysis workspace, billing export uploads, SaaS subscription tracking, findings and reports open to you for the period. It is not a charge per export analysed or per finding, and it does not depend on how much you end up saving. The plan is available in full from the first day of the period.

Subscribing is a request for us to start the service at once, and you accept that any statutory right of withdrawal or cooling-off period ends when the service begins.

When we do refund

  1. Double billing. A fault in our billing charged you twice for one period.
  2. Unauthorised use of your card, with evidence. The charge was made without your permission, you report it within 14 days, and the account and payment records confirm it. We decide on the records rather than on the report alone, and may ask you to confirm that your card issuer knows.
  3. Total service failure. A fault on our side, which we confirm, kept CostAnalyst completely unusable for a continuous stretch, you reported it at the time, and we could not put it right. Slow analysis, a single report that fails to render, partial faults and problems with your own browser or network are not included.

Any refund under these cases is the full extent of our liability, is limited to what you paid for the period concerned, and goes back to the card that was charged. A refund given once does not entitle you to another.

What never qualifies

  • A change of mind, a change of budget owner, or no longer needing cost analysis.
  • Uploading no billing export, or only a few, during a paid period.
  • Savings that turned out smaller than you hoped, or a recommendation you chose not to follow. Findings depend on the data you supply and are probabilistic output from an AI analyst.
  • An export that is incomplete, in an unsupported layout, or missing the date, service or cost columns.
  • A renewal that was charged, including one collected after earlier declined attempts.
  • Taking the plan for a one-off payment, when pricing page, checkout, confirmation email and account all say it renews.
  • Forgetting to cancel before renewal, or cancelling just after it.
  • A feature that the pricing page does not describe, or that works differently from your assumption.
  • Choosing the wrong plan or billing term.
  • The unused part of a period after cancelling. Nothing is pro-rated.
  • Use of your account by someone else, including a colleague with your login.

Requesting a refund

Email [email protected] from your account address no later than 14 days after the charge, with the date, the amount and the case that applies. Later requests, requests from another address and requests made any other way are not considered. Requests are handled in the order received, without a set reply time, and a declined request stays declined.

Cancelling

Cancel from your account whenever you like, without writing to us. No renewal is charged after that. A payment already made stays in place, and your workspace stays open until the end of the paid period. Cancelling is not a refund request.

Renewals and declined payments

Subscriptions renew automatically until cancelled. When a new period starts, access for it is granted and its fee is due. A declined card is retried by our payment operator over the following days against the same open invoice, which is not a second charge. Cancelling while it is open stops future renewals, but the fee for the period already started remains due and is not refunded once collected. Cancel before the renewal date in your account to avoid the next period.

Our records

Opening an account means accepting our Terms of Service, which include this policy, and our Privacy Policy. Before you pay, checkout shows the plan, price, billing term and automatic renewal, and the confirmation email confirms them.

For every subscription we keep the purchase time, the plan and price shown, your acceptance of the terms, the emails sent to you and the account activity log, which covers sign-ins, exports uploaded, subscriptions entered and reports viewed, with the technical details stored alongside. Our payment operator keeps its own record of each charge, including the card country, the place the payment came from and the result of bank authentication such as 3D Secure. Unauthorised-charge claims are tested against these records.

Chargebacks

Talk to us first if you believe a charge is wrong. A chargeback opened without contacting us breaches our Terms of Service and ends with permanent closure of the account, and we pass the records above to your card issuer.

Purchases before 14 October 2026

Those payments remain under the terms that applied on the day of purchase.
